Hope and Aid Direct functions successfully because of its amazing and committed network of volunteers. The charity has operated since 1999, and in just the last two years has sent 60 articulated truckloads of humanitarian aid to Ukraine. That has required funds, scrounging for aid, receiving it around the country, collecting it or getting it delivered, sorting, boxing, palletising, paperwork, liaison with our partner charities and so on. This, together with the administration of the charity requires significant volunteer effort. Volunteers all have busy lives, families, work, other social activities, and holidays, and therefore volunteer liaison and coordination are critically important elements in the achievement of Hope and Aid Direct objectives.
Position Overview
This is largely an operational role.
In short, get to know, coordinate and organise our volunteers
The Volunteer Liaison and Coordination Manager is responsible for recruiting, and organising volunteers, when and where needed.
This role will ensure that operational needs are always met by at least an adequate number of suitable and suited volunteers to match the operational needs of the charity. This position requires excellent communication skills, people skills, a comprehensive understanding of logistics, a proactive approach to solving challenges, a desire to be fully engaged, and a passion for the work of Hope and Aid Direct.
Key Responsibilities
Volunteer Management:
Close Liaison with the Head of Operations
Schedule, recruit and coordinate volunteer activities and assignments.
Conduct volunteer orientations and training sessions (in person or remotely) to ensure volunteers are well-prepared and knowledgeable about their roles.
Volunteer Welfare:
Serve as a primary point of contact for operational volunteers, responding to enquiries and providing information as needed.
Prepare reports on volunteer activities for the trustees and core team .
Qualifications
● Experience:
o Similar experience in a management or related role.
o Any similar experience in charity operations and logistics would be useful.
● Skills:
o Strong organisational and time management skills.
o Personability.
o Excellent interpersonal and communication skills, both written and verbal.
o Technically adept and able to use standard office-based software
o Must be comfortable working remotely taking on challenges and bringing them together as part of a team
o Strong challenge-solving skills and the ability to handle multiple tasks simultaneously.
● Mobility
o Although this position is remote, the ability to visit locations where HaAD volunteers are working, to participate and support volunteers would be an advantage. We have supporters nationwide, and drop-off collection points around England, but our operational activity is largely based in Essex where our trucks are kept, and our warehouse activity is centred.
Working Conditions
● Ability and willingness to work flexible hours, including some evenings and weekends as may be needed, to accommodate volunteer activity needs.
Some travel may be required to attend meetings, events, and operational activities
